IDEA: Collect all employee computer logins / passwords and retain them in your HR files.

Every few months, instruct your employees to write down their computer logins and passswords for their computers and submit them to HR to retain in their personnel files.  This includes their logins for the access to online bank records, outside payroll agency records and especially personal logins and passwords for access to all vendor (AP, vendor invoices) and customer portals (AR, enter invoices).  You cannot afford to have someone quit or leave or get fired and refuse to release the contents of their computer (i.e. product designs, valuable production data, documents not copied elsewhere in the company).
