GPI 286 – Add an identifying mark to copies generated on the shared community printer to speed distribution.

Most offices have one large printer/scanner/email copier for many employees to share. All of the copies/incoming faxes accumulate in a side bin. After a few minutes they become difficult to sort, identify and distribute, given that they are coming from many different desks. People get busy and forget to get their copies. Other times employees might print to a wrong work printer outside of their department so many copies sit all day unclaimed only to be tossed at the end of the day.

A solution to this might be to ask your IT person if a user ID mark can be printed automatically at the bottom of copies, which will identify the owner.  This mark can be the person’s initials, an employee ID #, a desk number or any arbitrary icon or mark chosen by your group.  Allow the employee to turn off the option when printing copies to be mailed or submitted to an outside party.
