All companies have internal telephone lists, which typically include only employees’ extensions and cell phones. There are many other important numbers that should be added to make this listing far more handy and relevant.
Consider adding any or all of these items to be readily available within moments at anyone’s desk. Even if you do not put them on everyone’s list, give them to the receptionist who serves as a hub for information during company problems.
Items you may want to consider to include on the company’s telephone list:
- Employees’ names listed by (first and last names if you wish—many people do not know their co-workers’ names).
- Utility name and account (if the lights/power goes off/ water turned off or goes brown and smells!, sewer backs up into the lobby from the street) —- list the ‘Outages’ telephone number and the telephone number associated with your account).
- Internet provider and account (if internet access is lost).
- Telephone company number and company account (if the land lines go down and your main switchboard is dark).
- Telephone company number and company account (if cell phones go down).
- Medical emergency for minor accidents —non-life threatening (clinic name, number and company account code set up for phone-ins).
- Medical emergency for major accidents — heart attacks, bleeding cuts, amputations, serious falls (emergency room, hospital name, number and account code set up for telephone notifications).
- Website problems, errors or omissions (webmaster telephone number, agency name).
- Sales/customer service – after hours telephone number, contact name.
- Production/warehouse – after hours, telephone, contact name.
- General email inquiry address for distribution.
- Medical insurance company and account number. Insurance agent or broker if one is used.
- Dental insurance company and account number.
- Short term and long term disability insurance company and account numbers.
- Workman’s Compensation carrier telephone number and account number.
- Sheriff or county police department (hopefully never needed).
- Sheriff or county police department (non-emergency call-ins i.e. thefts, burglaries).
- Most common freight/trucking companies used (dispatcher names and telephone numbers for tracking shipments).
- Local truck mechanic when trucks break down on your property and need work done.
- Federal Express, DHL, UPS, USPS telephone numbers.
Good Idea: Print the entire telephone list out and keep it at the main switchboard at all times in case your power goes out. You will use it on your cell phone to call your power company to report your outage.
