GPI 346 – Make your company telephone listing more helpful — list both first and last names, departments, functions and more.

Your internal telephone list for your company may be fine for now but as the company grows and adds personnel, not everyone knows first or last names.  Try to flesh out the telephone list in different ways. Here are a few.

Try these ideas when updating your telephone listing:

  • Names: List personnel under their first name and again under starting with their last name (2 alphabetical listings within the same list).
  • Departments: List departments on the telephone listing.  For example, Shipping, Quality Control, Sales, Accounting, Transportation, Engineering or Administration.
  • Functions: List functions on the telephone listing.  For example, Quotations, Sales Order Entry, Production Control, Material Handling, Inventory, Receiving – Vendors, Receiving – Customer Returns, Billings, Accounts Payable, ISO Certification, Employee Payroll, Employee Benefits, Security Guards, Neighborhood Constable, Mailman telephone number, Draftsmen, QC Approval, Bills of Lading, Credit Memos, Debit Memos or Purchase Orders – Vendors, Purchase Orders – Customers.
