IDEA: Create a fixed asset map which show the location details building by building for all your company’s fixed assets.

Have an intern (engineering or mechanical engineer major) find and document all your company’s fixed assets noting all makes, models, serial numbers of each of your company locations’ machines, vehicles and lease improvements. As the intern is preparing this current fixed asset inventory and comparing it to fixed asset values on the company’s books, instruct him to create a grid or simple map of each of your locations and indicate the where on the map each of the items is installed (machinery and heavy equipment) or assigned (cars/forklifts/trucks).  For example, a machine may be described as Odessa, Building 4, Location A5. (fifth machine in block A of that building).  The coding is dependent upon your company needs.  Have the intern create a grid for each building which will be given to accounting and maintenance later.  For all other fixed assets on your records not found, ask if they have been discarded, scrapped, taken apart for pieces.  For those found no longer present or sold, write them off prior to yearend to minimize the following year’s property taxes forever.
